SnapQuote Privacy Policy

Haven Tech Solutions (“we,” “our,” or “us”) operates SnapQuote, a service that turns texted contractor estimates into professional PDF quotes. This Privacy Policy describes how we collect, use, and protect information when you use SnapQuote via SMS.

1. Information We Collect

When you send a text message to a SnapQuote phone number, we may collect:

Phone number — The number you text from (provided by the messaging carrier).

Message content — The text of your message (your estimate, including any names, addresses, line items, and amounts you include).

-Images (optional) — If you send a photo with your message (MMS), we may save it and use it as a logo on your generated quote PDFs.

 

We do not collect information from visitors who only browse a website; this policy applies to use of the SMS/MMS service.

2. How We Use Your Information

We use the information we collect to:

Process your estimate — We parse the text of your message (including with the help of an AI service) to extract details such as contractor name, client name, address, line items, and totals.

Generate and store quote PDFs — We create a PDF quote and store it so we can provide you a link to view or share it.

Send you the quote link — We reply by SMS with a link to your generated quote.

Associate a logo with your number — If you send an image, we may store it and use it on future quotes generated from that phone number.

Support the service — We may retain records of your phone number, quote IDs, and quote links for lookup and service operation.

3. Third-Party Services

We use the following types of third-party services to operate SnapQuote:

Messaging (Twilio) — To receive and send SMS/MMS. Twilio’s handling of message data is subject to their privacy policy.

AI / parsing (OpenAI) — Your estimate text is sent to OpenAI to extract structured data for the quote. OpenAI’s use of data is subject to their privacy policy.

Hosting and storage — Quote PDFs and related data may be stored on our servers or on a cloud provider (e.g., Microsoft Azure). Logos and quote records may also be stored locally or in the cloud.

We do not sell your personal information to third parties.

4. Data Retention and Storage

Quote PDFs — Stored so the link we send you continues to work. We may retain them for as long as needed to operate the service.

Quote records — We may keep records linking your phone number to quote IDs and PDF URLs for lookup and support.

Logos — If you send an image, we may keep it associated with your phone number until you request removal or we change our practices.

You can contact us (see below) to ask about deletion of your data.

5. Security

We take reasonable steps to protect the data we collect and store, including secure transmission and access controls. No method of transmission or storage is 100% secure; we cannot guarantee absolute security.

6. Your Choices and Rights

Opt out of messages — You can reply **STOP** to the SnapQuote number to opt out of future marketing or non-essential messages. You may still receive transactional messages (e.g., the quote link) as needed to fulfill your request.

Do not send images — You may send estimate text only; you are not required to send a photo.

Access or deletion — You may contact us to ask for access to or deletion of data we hold about you, subject to applicable law.

7. Children

SnapQuote is not directed at children. We do not knowingly collect information from anyone under 13. If you believe we have collected such information, please contact us.

8. Changes to This Policy

We may update this Privacy Policy from time to time. The “Last updated” date at the top will be revised when we do. Continued use of SnapQuote after changes constitutes acceptance of the updated policy.
